View Shopify returns and returned items in a spreadsheet
Mixtable can load Shopify return requests and their returned items into separate worksheets. This gives you a spreadsheet view of return status, timing, quantity, reasons, and customer notes.
- A Return worksheet has one row for each return request
- A Return Line Item worksheet has one row for each item included in a return request
These worksheets show return data from Shopify and are read-only. They do not approve, close, or otherwise update returns in Shopify.
Choose the right worksheet
Use a Return worksheet for an overview of each return request. Available fields include:
- Return name and Shopify ID
- Order name and Shopify ID
- Return status
- Total quantity requested for return
- Requested, approved, closed, created, and updated dates
Use a Return Line Item worksheet when you need item-level detail. Available fields include:
- Return, order, line item, and fulfillment line item IDs
- Line item name and SKU
- Product and variant IDs
- Return status and quantity
- Return reason and reason note
- Customer note
- Requested, created, and updated dates
A return request can contain several items, so one return can appear on several rows in a Return Line Item worksheet. Because each returned item links back to its original order and fulfillment, you can trace it to the shipment it came from with a Fulfillment or Fulfillment Line Item worksheet.
Create a return worksheet
- Open a spreadsheet in Mixtable and click the + button beside the worksheet tabs
- Select Shopify data worksheet, then click Continue
- Select Returns or Return Line Items
- On Choose your columns, keep the most-used fields or select the specific fields you need, then click Continue
- Choose Load everything or Only rows that match rules
- Click Create Worksheet
Mixtable loads one row per return request or returned item, depending on your selection.
Useful ways to work with return data
- Filter Status to separate open and closed return requests
- Sort by Requested At to review the newest requests first
- Use Return Reason to group recurring product or fulfillment problems
- Use Line Item SKU to total returned quantities by SKU
- Review Return Reason Note and Customer Note for additional context
- Export the worksheet to Excel or CSV for operations, customer service, or product-quality analysis
Return requests and refunds are different
A return records the request and the physical items being sent back. A refund records money returned to a customer. Depending on your workflow, a return may exist before a refund is issued, and the returned quantity may not match the refunded quantity.
Use a Return or Return Line Item worksheet to review the return process. Use a Refund or Refund Line Item worksheet when you need financial refund details.
Troubleshooting
Why do I see several rows for one return?
A Return Line Item worksheet creates one row for every item in the request. A return containing several items therefore appears on several rows.
Why can’t I change the return status?
Return and Return Line Item fields are read-only in Mixtable. Make changes to the return in Shopify, then return to Mixtable to work with the updated data.
