Set up a Conditional Worksheet for Shopify data

Use a Conditional Worksheet when you want to load only the Shopify records that match rules you choose. For example, you can load products from one vendor, products with a particular tag, or B2B orders from a specific company.

Create a Conditional Worksheet

1. Click the + button in the spreadsheet tab strip to add a new worksheet
2. Select Shopify data worksheet, then click Continue
3. Select the type of Shopify data you want to load, then continue to Choose your columns
4. Select and arrange the columns you want, then click Continue
5. Under Which rows should we load?, select Only rows that match rules
6. Build your rules by choosing a field, an operator, and a value for each condition
7. Use the controls at the top of the rule builder to choose whether Mixtable should Include or Exclude items and whether they must match all or any of the top-level rules
8. Add more conditions or groups as needed
9. Click Create Worksheet

Available rules depend on the Shopify data you selected and can include standard Shopify fields and defined metafields. Mixtable loads existing records that match and can add new records when they begin matching the rules.

Combine conditions with groups

Use Add group when part of your filter needs its own all or any choice. Mixtable treats the whole group as one top-level rule, so you can combine it with conditions and other groups.

For example, you can load orders that are either pending or partially paid, were created on or after May 7, 2024, and have not been cancelled:

1. At the top of the builder, choose Include items that match all conditions
2. Click Add group, then set that group to Include items that match any grouped condition
3. In the group, add Order Financial Status equals Pending and Order Financial Status equals Partially paid
4. Outside the group, add Created At is greater than or equal to May 7, 2024
5. Also outside the group, add Cancelled At has no value

Each group has its own Include or Exclude setting. Use Exclude when records matching that group should be left out. You can add multiple groups at the top level, but you cannot add a group inside another group.

Every group must contain at least one condition. If you remove its last condition, Mixtable explains that you must add a condition or remove the empty group before you can create or save the worksheet.

Change the rules for an existing Conditional Worksheet

1. Open the Conditional Worksheet
2. Click Change Conditional Worksheet criteria
3. Add, remove, or update conditions and groups
4. Click Save Conditional Worksheet criteria

What happens when data no longer matches

Mixtable keeps Conditional Worksheets aligned with your Shopify store. If a Shopify object starts matching your conditions, Mixtable can add it to the worksheet. If an object used to match but no longer does, its row may become empty.

The same thing can happen after you change the conditions for a Conditional Worksheet. Rows for Shopify objects that matched the old conditions, but do not match the new ones, may become empty.

When Mixtable detects empty rows the first time you open a worksheet during a browser session, it shows an Empty rows detected notice. Click Clear Empty Rows in that notice to remove them.

You can also clean up manually:

1. Leave them in place
2. Select the empty row headers and delete the rows manually
3. Click the Worksheet menu and select Remove Empty Rows to clean up rows that no longer contain worksheet data
